Procedural norms

This is a provisional list that organizes our proceedings and projects patterns through which we can help maintaining a healthy and productive environment. Please go through it, and let me know if you need other points to be added to it. You can email me
  • When everyone is not present, important decisions will be made in a two-part process: the decision of those "in the room," followed by check-in with those who are absent 
  • Set priorities for what must be covered in each meeting
  • Define what kind of meeting this is: information-gathering, problem-solving or decision-making
  • Don't interrupt- raise your hand and wait to be recognized
  • Use the Parking Lot to record issues that need to be remembered for the future
  • Preserve confidentiality: when particular situations (particularly with regard to people) are mentioned, "what's said in the room stays in the room"
  • Structure a controversial topic as a dialogue or a seminar, to reduce personal focus
  • Separate the dialogue or seminar about a controversial topic from the decision-making point about that topic
  • Group members come prepared for meetings
  • Complete assignments on time
  • Notify Chair if you will be absent for all or part of the meeting, as soon as you know
  • If an issue under discussion is important to you, and you can't be there, arrange for your views to be heard by sending email to the group or having another member speak for you
  • It is your responsibility to bring yourself up to date if you have missed a meeting
